Review the version and its lifecycle before making it available.
Create a policy draft with a title, Category, optional Review date and Policy file. Android accepts PDF or Word files up to 20 MB.
Use Save draft, then open Version history and read the uploaded file. For a replacement, use Add policy version and explain What changed; the earlier published version remains available until the replacement is published.
Choose Publish version for the intended draft. Read the confirmation and check the version number before confirming publication.
After publishing, choose the acknowledgement assignments and due date. Publication makes the document available; it does not automatically choose who must acknowledge it.
Check that the intended version is labelled Published. Earlier acknowledgements stay associated with their original version and do not count for the replacement.
Use the retained version history for older files, publication dates and acknowledgement history. Withdrawal and archiving have their own confirmations; use the separate lifecycle guide before those actions.
Publication, replacement, withdrawal and archive represent different stages. Read each confirmation before acting.
Check file type and size, title and the replacement’s change summary. If another administrator changed the policy, refresh before continuing. An archived policy cannot receive new versions. Follow your organisation’s content approval before publication.
